ACOLLECTIVE MEMBERSHIP AGREEMENT

 

STUDIO OCCUPANCY: You are granted access 24/7, 365 days a year. You must keep Acollective up to date with the details of anyone occupying your studio. We require all occupants to provide their name, address, phone number and email address. We will send you a key holder form which you must complete before receiving your keys.

TERMINATION AND NOTICE PERIOD: You may terminate your membership at any time by providing 90 days notice.

SHARING: With prior consent, you may share the studio with other parties (providing you do not exceed the maximum occupancy). Any sharing arrangement must be agreed in advance with Acollective. In the case of sharing the studio, one party must accept responsibility for the membership and only only party will be billed.

QUIET ENJOYMENT: All members and guests have the right to quiet enjoyment during working hours (8.30am - 6pm) and any behaviour that breaches this will not be permitted. Normal levels of office noise (talking on the phone, playing music at a reasonable volume etc) are allowed.

OPEN ENVIRONMENT: This is an open office shared by different peoples and organisations where anything said should be expected to be heard by others. We ask you to extend this respect to any guests or clients of fellow members also.

INTERNET USAGE: No spamming, posting or downloading files that you know or should know are illegal, or that you have no rights to.

FOOTWEAR: Acollective occupies a Grade II listed building with exposed floors. Shoes must be worn at all times.

HEATING AND BILLS: Bills are included in your monthly membership, including internet, water and electricity. This is subject to fair use, assuming you heat your offices throughout the day in winter months. Please make sure you turn off the heaters when you are not in your office and when you leave the meeting room. If you are found to be repeatedly leaving heaters on Acollective reserves the right to ask you for an additional contribution towards electricity costs. 

CLEANING: The common areas including the stairs, hallways, meeting room, kitchen and toilets are cleaned daily by professional cleaners. Your studio will be cleaned every other week by our cleaners. If you have any concerns about the standards of cleaning please bring it to the attention of ACOLLECTIVE as soon as possible.

TOILETS: Please remember this is a shared workspace, so make sure to lock the cubicles when you use them. You must always wash your hands after using the toilet. We all share a kitchen, so be considerate of your hygiene.

BINS: Please use the kitchen bin for all food waste. The bins provided in your private office should be used for paper and recycling only, and will be emptied once a week. 

LIABILITY: All members are responsible for their own belongings and actions. Should any action or inaction cause damage or cost to Acollective then that cost will be levied to that member or members.

INSURANCE: We advise all members to take appropriate public liability and contents insurance to meet their needs.

GUESTS: Any guest must be accompanied by a member at all times. The inviting member will be responsible for the guests actions at all times. The guests are responsible for their own belongings. Guests must be signed in on the magnet board, using the clear magnets.

INVOICING AND PAYMENT: Membership is automatically invoiced monthly in advance, around the 23rd of each month. Payment is due before the start of that month. Failure to make a payment will result in access being withdrawn. Repeated late payments may result in penalties.

BELONGINGS & STORAGE: You are responsible for your own belongings. Belongings that are left at the end of each day are done so at your own risk. You should ensure you have appropriate insurance covering any belongings left in the studio.

EVENTS: We have the right to arrange or allow events in the meeting room or photography studio after 6pm (Mon-Fri) and at weekends. We will not arrange or allow any events to take place in private studios, however please be aware there will be non-members in the building and some noise is to be expected from these events. 

SMOKING: No smoking (including e-cigarettes) is permitted inside the building at any time. The charging of e-cigarettes is also not-permitted due to safety concerns. If you need to smoke please go out of the main exit and across the street. Do not go out on the roof via the fire escape.

FIRE ESCAPE AND ROOF AREA: The fire escape is for emergencies only, you should not be accessing the roof for any reason other than to escape from a fire. 

SECURITY DEPOSIT: A security deposit equal to your monthly membership fee is required for private studios. This is stored in a separate account and will be returned to you upon departure of your room in an acceptable condition and return of your keys.

KEYS: On acceptance of your membership, you will be given a set of keys for each person using the studio. You are not authorised to make copies of these keys without prior permission. Replacement for lost, stolen or unreturned keys/fobs will be charged from your security deposit at £10 per key, and £5 per fob. 

CHECK IN: You will be provided with a welcome pack, including all the information you will need for your time at Acollective. You will also be sent a schedule of condition for your studio, with photos of the current condition of the studio. You have seven days to dispute any information on the schedule, after which it will be held on record for your check out.

STUDIO MODIFICATIONS: You are welcome to make minor modifications to your studio including painting the walls, hanging pictures and art work, adding signage to your windows, and bringing in your own furniture. This is on the condition that you return the studio to its previous state before checkout. Any other modifications must be approved in writing by Acollective prior to being carried out. 

CHECK OUT: Upon termination of your membership a check out will be conducted against the inventory agreed upon at your check in. You are expected to leave the studio in a clean and tidy state, with any minor modifications returned to the previous state. Any cost to Acollective for repainting, removal of furniture, or cleaning after your checkout will be billed.

RENEWAL AND TERMINATION: Membership is a privilege not a right, gross misconduct can result in immediate termination. Renewal is automatic unless advised by the member. 

Acollective may terminate this agreement at any time with 45 days notice.

Members can terminate this agreement at any time by providing a minimum of 90 days notice.

YOUR DATA: The information provided to us by you is stored securely by FreeAgent (who we use for our accounting). Your email address will be used to send you invoices and other updates from Acollective. By completing this form, and continuing to pay your membership fee, you consent to us using your data in this way. You may request a copy of your data at any time by emailing membership@acollective.co.

Acollective reserves the right to amend these terms and conditions at any time. This policy was last updated in June 2025.
